A unique AI research institute, the ELLIS Institute, has been established in Tübingen with support from the Hector Foundation and funding from the state of Baden-Württemberg. This groundbreaking initiative offers top scientists in Germany exceptional working conditions. To sustain this vision, we seek a highly motivated administrative team dedicated to providing outstanding service, supporting scientists at the institute, and acting as a central contact for all work-related needs.
The institute is integrated into "Cyber Valley," an innovative ecosystem that brings together leading European institutions conducting AI research.
Your Responsibilities

Assisting with third-party funded projects from application to final processing

Assisting with budget and financial matters

Implementing and ensuring quality in administrative processes

Supporting the preparation of the business plan and annual financial statements

Processing invoices and managing budgets for institutional and third-party funds

Assisting with administrative tasks in HR

Supporting the development and implementation of internal reporting

Collaborating closely with our external HR and finance service provider

Advising and supporting the administration management

Acting as a deputy for the administration management
The role also requires a high degree of creativity, flexibility, strong communication skills, and enthusiasm for contributing to the development of a modern research institute in a dynamic environment. You will report to the head of administration of the nonprofit GmbH.
Your Profile

Excellent German skills, both spoken and written

Good English skills

Completed training in public administration and finance

Experience in science administration, research management, university administration, or other publicly funded institutions is an advantage

Ability to quickly adapt to changing challenges and develop solutions

Compensation for this position is based on qualifications and experience, up to TV-L E12 (salary level determined by relevant professional credentials and experience).
